We are recruiting for a receptionist/ office assistant to join our team
Job Purpose
To provide the company with a friendly, professional and well presented reception service.
To work pro-actively and efficiently to maintain an effective administrative support service for both the account and support staff.
Principal Responsibilities
Reception
To meet and greet clients and visitors, in a professional and welcoming manner upon their arrival at the Broadgate Mainland office.
To provide visitors with refreshments and ensure the meeting rooms and reception area is kept tidy at all times.
To provide the company with an effective telephone answering service by answering and screening calls where necessary, taking and passing on messages in a timely manner.
Take responsibility for the newspaper rota and ensure newspapers are distributed daily according to the rota. Subsequent responsibility for filing newspapers and magazines and recycling old and unwanted items.
Open and distribute the post as necessary.
Responsible for maintaining stationery levels and re-ordering items as required.
Ensure that all incoming faxes, telephone messages and courier deliveries are read on receipt and directors/staff are alerted if urgent action is required.
Office assistant
To provide a high standard of administrative support to the directors and account staff as necessary. This includes compiling, photocopying/scanning and binding and distribution of press coverage booklets.
Making travel arrangements and booking restaurants.
Maintain and develop the existing filing systems ensuring a uniform system throughout the organisation.
The first port of call for all IT and technical queries and take responsibility for resolving them.
Conduct various research tasks and projects as required by account and support staff.
Assist in the preparation of presentations.
Maintain and update the contact database.
Assist in organising company events.
Undertake adhoc administrative tasks as required.

Educated to degree level in a relevant subject
